In this section, you will have the option to see your payment records, edit payments and export payment reports.

Go to AR (Accounts Receivables)>>Payment History" sub-tab menu.


Ui step

 Find a specific payment record by clicking on the Search button and using the search filters.


Ui step

 Go to the "Actions" column to find the different options available, such as View Details (through the magnifying glass icon)Edit, Print Payment Details, Send the Payment by Email and Cancel the Payment.

You can also view the details of the payments, such as the credits applied or overpayments, by clicking on the magnifying glass. Notice the system also displays the Balance, which corresponds to the remaining amount to be paid, meaning that once the total amount of the invoice is paid, this column will display 0.00.

Multicurrency Payments

To see the payment amount in your customer's currency, hover the mouse over the blue icon within the details window.

 Export your payment history to an Excel or PDF file.

titleCustom Columns

By clicking on the gray gear icon you can choose additional information related to Payments that may be helpful. E.g. The Processed By column displays the user name of the person who processed the Payment along with the hour of the payment.

titleEdit Payments

The user will have the option to edit a payment when needed.

To edit a payment, follow the steps below:

Once you find the Control number that you want to edit, go to the Actions column > Click on Edit.

 The system will redirect you to the Receive Payment tab. There, you will have the option to enter the payment and update the information needed. The system will also list the available pending orders for the customer so you can apply the amount to other orders if you want. You can also unapply the payment by clicking on Clear.m

Unapply Overpayments

The system will allow editing a payment that was created as an Overpayment to choose some open invoices and pay them. And the other way around, if a user wants to take a payment and take off the orders previously added, the system will open those invoices and leave the money as open credit.



Ui step

Finally, click on Save & Close or Save & New, to save the changes. This will save the update under the same payment control number. 



Note

Please keep in mind that Komet will not allow you to edit payments records with an overpayment that has been applied to another invoice. The system will display an error message if this is the case.

titlePayment Date Restrictions

The system allows restricting users from editing the payment date. This option can be enabled from Setup User Options.

titleNFS Process

Komet allows you to cancel a payment due to NSF. The system will generate a negative transaction with the same data of the original payment so the balance is 0. The option must be enabled from Accounts Receivables Settings. To do so, please follow the next steps:

Go to A/R (Accounts Receivables)


Ui step

 Click on the Payment History tab


Ui step

 Use the filter to search for the payment you want to process.

 Once you find the payment, go to the Actions column, click on the dropdown list and click on Process NSF.

The system will ask you to confirm the NSF process. If an NSF amount has been set up from Accounts Receivables Settings, this process will generate an invoice. If this is not the case, a negative payment will be created and no invoice will be generated.

Once you click on Continue, an indicator will appear in the payment history. When the cursor is placeover the NSF icon, the system will display the information of the user who processed the NSF.

An invoice will be generated for the customer if any fee has been entered.

Since the same invoice could be associated to several NSFs, a popup message will appear with the corresponding details if this is the case.

 Click on Send Email.

 Enter the email addresses where the payments should be sent. Click on Send.

titleHow to Review Credit Card Payments Details

Go to AR (Accounts Receivables)>>Payment History" sub-tab menu.

  Find a specific payment record by clicking on the Search button and using the search filters.

 Go to the Actions column and click on the details icon.


Ui step

 The system will pop up the Orders on this Payment window where you will be able to review the payment details. This information may be useful to process refunds on external systemsfor future use.

The credit card information will be available in the Check/Reference # field. The first field is the credit card name and the last 4 digits of the credit card while the second field corresponds to the transaction number in Clearent.

titleEdit Credit Card Payments

The system will not allow users to edit the amount of credit card payments processed through Clearent. Users will only be able to add notes to those type of payments and redistribute the amount paid in different orders.
