Overview

A temporary AWB is basically a provisional shipment created in order to view the boxes in the Staging Area without having to wait for the cargo agent to provide the AWB number.  

Keep in mind that this option is only available for those vendors that you want to activate this feature for.  To do so, follow the steps described in the Vendor Options Setup article.

Instructions

Once you have it enabled you can proceed to create temporary AWBs, to do so please follow the steps below.

  1. Go to Purchase Orders > Purchase Order Summary, using the filters, search for the POs that you want to assign a temporary AWB # to.

  2. Once you have found the POs click on the Actions button then click on Update Status.

  3. Change the status to Confirmed by Farm and then click on Continue.
  4. If you have selected more than one PO, another the confirmation window will appear. Click on Yes, continue in order to finish.


 5. Go to the Grower tab>>Confirm POs and in the Actions column click on Confirm Shipments. Once yo do that, the system will assign a Temporary AWB number based on the ship date, for example:

PO with Ship date: 10/10/2016 = Temporary AWB number: 000-2016-1010

PO with Ship date: 11/18/2016 = Temporary AWB number: 000-2016-1118

Notice that the Temporary AWB number is composed as follows: "000" prefix - "2015" year - "1116" month and day.

You will find the Temporary AWB on AWB Summary screen under the Grower tab.  As shown below:

 

As soon as the Temporary AWB is created the boxes will be available in the Staging Area; from here on, once the actual AWB number is available you will be able to update it.

You must be aware that in order to confirm products from the Staging Area that have been assigned a Temporary AWB number, the Temporary AWB # must be updated with the actual AWB number first.

Important

Notwithstanding the above, the system allows confirming products from the Staging Area even if the AWB is temporary and even printing labels for it. For doing that the setting Allow users to confirm temporary AWBs in the Staging Area screen must be enabled from the Inventory Options.

 

Once you have the actual AWB number you can edit it from the Staging Area or the Grower >AWB Summary tab.

 

It doesn't matter if your search results have different ship dates, the system will create a temporary AWB for each ship date, keeping in mind that any POs with the same ship date will be included in the same temporary AWB.

The system will only create temporary AWBs for those farms that have this feature activated.
